The only rule of thumb that always worked for my cold emails: Make the email extremely casual. ๐ค
The more your cold email looks like it wasnโt even meant for the recipient โ the HIGHER the chances theyโll actually read it and respond.
โ Ditch the salesiness.
โ Make it seem like you donโt really care.
Here are 7 psychological hacks to write emails so casual, youโll be drowning in replies:
Trick #1: Internal Subject Lines ๐คซ
Make your subject line read like an internal email from their boss.
RE: [Company] Q3 kick off
need your quick help with [project]
It hijacks the Zeigarnik Effect: our need to close open loops. Subject lines like these spark FOMO about internal discussions = instant open rate boost.
Trick #2: lowercase it all ๐คทโโ๏ธ
kill the corporate vibe with nonchalant lowercase.
โhey sarahโ slaps harder than โDear Ms. Johnsonโ any day if you wanna seem chill AF.
Trick #3: The Fake Referral ๐ต๏ธโโ๏ธ
This one is my favorite - but itโs a bit sneaky.
Include a fake forwarded message from one of your colleagues recommending that you reach out to this person. This makes it seem like youโre contacting them based on an internal suggestion (for a real reason), rather than cold outreach.
Great example from Brex:
๐ Bonus side effect: It makes the recipient feel super valued. They think โI must be important if theyโre already discussing me internally...โ

Trick #4: Zero Calls + Zero Links ๐ซง
Close your email by asking a question the recipient can answer in <1 minute: Opinion, tech stack, advice, or pain points.
Never (!!!) ask for a call or send a link to an LP in your first cold touch.
Our goal here is to get the conversation going.
What's the #1 thing you wish was easier about [common task in their role]?
Trick #5: The Magical โMay I?โ ๐
Kicking off any question with โMay I...โ hits hard. Really hard.
Youโre not assuming their time/attention โ youโre humbly seeking their permission to continue. โMay I get your quick take on this?โ feels way less salesy and demanding than launching straight into an ask.

I've seen this boost reply rates by up to 35% with no other changes. Try asking โMay Iโ questions yourself and watch those responses roll in.
Trick #6: โSent from my iPhoneโ ๐ฑ
Always end the email with โSent from my iPhoneโ (even if not). It makes it look like youโre just casually firing this off on the go, not sweating over every word.

I actually started doing it myself after watching Netflixโs Baby Reindeer, and itโs hilarious how good it is. My reply rate skyrocketed.
Trick #7: The Hyper-Personalized "P.S." ๐ฅฐ
The P.S. is the most-read part of any email โ hands down. People always skip to the bottom. Donโt waste that real estate!
Use it to admire something personal about them:
Mention a recent award they won, a blog post they wrote, or even a mutual connection. Bonus points if you tell them they inspired you.
๐ง Easiest way to do it? โ Check their latest LinkedIn activity (you can even filter to see posts theyโve liked) and be a fanboy/fangirl of that thing in the P.S.

I already know I'm going to take points 2,3,6 and 7 to give a kick to my reachout efforts.
I will do a lowercase subject line, I'll make a template of a fake referral, I'll add "Send from" to every email and I'll write a short P.S about something recent they did.
I also try not to sell at all during the first call. Only suggest something useful they can improve in their copy and leave a link to my portfolio and socials in the signature. Let's see if it works :)
Super insightful as usual! Curious to hear what are you favorite tools in you use in order to track email metrics (without falling into CRM/Hubstpot world. Though if you do, would love the explanation of the benefit.). I use Mailsuite for simple open rate + delivery tracking.
